Edit items on the Client's Roadmap to provide more specific information, status, and set expectations for timing and budget.
The Roadmap contains all of the items that are active in your Client. These may include Projects, Opportunities, or ongoing services. Each item can be edited in several ways to create a unique technology roadmap to communicate with clients.
Items can be added to the Roadmap by:
- Clicking the blue + in a Gap Analysis report
- Exporting a Budget view
- Importing from your PSA
- Triggered by a Smart Score rule
- Added manually
To view any item listed, simply click on the name or Budget box that appears when you hover over a date field.
You can now edit any part*. If the project was added using a template from the Service Catalogue, all of the information has been copied into this project. Once a project is on a client's Roadmap, it is unique. Changes to the template will not be reflected here and none of the unique data added will be visibile outside of this client.
Project Name
This is the name given by the system based on its source or provided by the user who added it. Project names should be changed to reflect a business value the client understands. In this example, it might be renamed to "Enhance Remote Workforce Productivity". The name should describe what your client "wants".
Project Status
New Projects always start at Recommended and are updated as work progresses. Recommended and Qualified are considered Opportunities. Approved and Work in Progress are Projects. The remaining can be applied to any item to help communicate its current state.
Due Date
Set the date for any required deadlines or milestones. This field is optional
Responsible
Select any Team Member to indicate their lead responsibility in the item. This field is optional.
Pillar
Select one of the 4 HIT Pillars to associate this project with. This field is optional.
Service Catalogue source
This is the template that the project was created from. Once applied to a client Roadmap, changes to the original template will NOT be updated here. The template source is used to filter items. Once the Project Name has been changed, you can still filter by the template.
Description
This provides more detail about the overall value of the Project. These should be broad, general statements describing your solution. You can change the template so that you don't have to edit the project every time you add it to a client's Roadmap. https://help.humanizeit.biz/how-do-i-change-a-project-template
Deliverable
This provides more specific information about this project for this specific client. You can follow a formatted set of items or just create unique items. These should be specific items that communicate value and priority.
Attached Assets
If this project was created from the Budget module or a Smart Score rule, it will have the associated assets attached. You may click on an asset to see the details. Asset costs are automatically applied based on the Depreciation and Cost settings for the Asset Type. Note, some costs might be listed in a previous time frame if the asset has already passed its depreciation date.
Other Costs
You can assign budgetary costs to better set expectations and timing. Multiple Costs can be added to provide details, but should be high-level, not a bill of materials.
Example:
The Total of Assets and Other costs will be displayed on the Roadmap.
When entering a cost, click on the time box you want to put it in. Use the Interval selector to view Monthly, Quarterly, or Annual intervals. Costs that are added at the Quarterly or Annual level will automatically divide the amount and apply it monthly.
Yellow Dots next to an Interval indicate Planning Boxes from other projects that do not yet have a Budgetary estimate.
Be sure to click Save once you have made your edits.
The updates are now available anywhere the Platform displays the Roadmap data.
* Synced Items
Items that have been synced with your PSA will have some fields that can no longer be edited in Humanize IT.
Once synced, the HIT Status values are no longer used and will reflect the current status in the PSA.
Notes that are added to the Description and Deliverable section after the initial sync will be updated in the PSA items Notes section. Notes added in the PSA will be updated in the HIT item.
